Effective May 20, 2026. NearbyAcres is built around real estate discovery, spotter-led property sourcing, and buyer matchmaking in Tamil Nadu. Because of that, the data we collect is specific to property transactions, spotter activity, and communication. This policy explains exactly what we collect, why, how we use it, and your rights over it.

1. Introduction

NearbyAcres ("we", "our", "us") operates the NearbyAcres mobile application, website, and related services (the "Platform"). This Privacy Policy explains how we collect, use, store, share, and protect information about you when you use the Platform. By using the Platform, you consent to the practices described in this policy. If you do not agree, please do not use the Platform. This policy applies to buyers, spotters, property owners, and anyone else who interacts with NearbyAcres.

2. Information We Collect

We collect the following categories of information:

  • Buyer data: name, phone number, WhatsApp number, budget range, preferred location, property type, buying purpose, and enquiry details.
  • Spotter data: submitted property details, photographs, owner contact information (if provided), location pins or GPS coordinates, payout eligibility records, and tier or progress data.
  • Account data: username, login credentials, session tokens, and account history.
  • Device and technical data: device model, operating system, IP address, browser type, app version, crash logs, and push notification tokens.
  • Behavioural data: pages visited, features used, buttons tapped, time spent, and interaction history within the Platform.
  • Analytics signals: data collected via Google Analytics 4 (GA4) and Meta Pixel for platform improvement and marketing attribution.
  • Communication data: records of messages, calls, or notifications sent or received through the Platform.

3. How We Use Information

Information collected is used for the following purposes:

  • To respond to buyer property requirements and arrange callbacks.
  • To match buyers with suitable property listings or spotter submissions.
  • To verify, process, and manage spotter submissions and reward eligibility.
  • To send service notifications, verification messages, and platform alerts.
  • To improve platform features, listing quality, and user experience.
  • To detect and prevent fraud, abuse, and policy violations.
  • To maintain internal records for sales, support, compliance, and audit purposes.
  • To process future payouts, KYC verification, bank detail collection, and tax compliance as applicable.
  • To conduct analytics and measure marketing performance via GA4 and Meta Pixel.

4. Spotter & Property Submission Data

Spotters may submit property details including location, photos, and owner contact information. This information is treated with particular care because it involves third-party details. By submitting property or owner information, you confirm that: — The information is accurate and lawfully obtained. — You have a legitimate basis to share it for property discovery purposes. — You have not misrepresented any person, property, or contact detail. Owner contact details submitted by spotters are used solely for verification and matchmaking purposes. They are not published publicly and are not shared with parties outside the transaction context without a legitimate reason. NearbyAcres may retain submission records, including timestamps and spotter identity, to resolve disputes, verify first-submission claims, and determine reward eligibility.

5. Communications & Notifications

By creating an account or submitting an enquiry, you consent to being contacted via the following channels for service-related, transactional, and marketing communications:

  • WhatsApp messages.
  • Phone calls.
  • Email.
  • SMS.
  • Push notifications via the mobile app.

5. Communication Opt-Out

You may opt out of marketing communications at any time by contacting us at calvis@nearbyacres.com or using the opt-out option in your account settings. Essential service messages — such as verification codes, submission updates, and account alerts — may still be sent even after opting out of marketing communications.

6. Sharing of Information

We do not sell your personal information. We may share information in the following circumstances:

  • With relevant property owners or buyers as part of the matchmaking and verification process.
  • With spotters or buyers where necessary to facilitate a property introduction or transaction.
  • With analytics providers (Google Analytics, Meta) under their respective data processing agreements.
  • With payment processors, KYC vendors, or financial institutions for future payout and compliance purposes.
  • With legal authorities, regulators, or law enforcement when required by applicable law or court order.
  • With professional advisors (lawyers, auditors) under confidentiality obligations.
  • With a successor entity in the event of a merger, acquisition, or business transfer.

7. Cookies & Analytics

The NearbyAcres web platform uses cookies and similar tracking technologies. The mobile app may use device identifiers and analytics SDKs. We use Google Analytics 4 (GA4) to understand how users interact with the Platform and Meta Pixel for marketing attribution and ad performance measurement. You may disable cookies through your browser settings, but some features of the Platform may not function correctly without them. Mobile users may limit ad tracking through device settings.

8. Data Retention

We retain information for as long as needed to fulfil the purposes described in this policy:

  • Buyer requirements and enquiry records: retained for up to 3 years from submission or last interaction.
  • Spotter submissions and associated property data: retained for up to 5 years to support dispute resolution and reward audits.
  • Inactive accounts: accounts with no activity for 24 consecutive months may be deactivated and data archived.
  • Payout and financial records: retained as required by applicable tax and financial regulations, typically 7 years.
  • Communication logs: retained for up to 2 years for support and compliance purposes.

9. Data Security

We implement reasonable technical and organisational measures to protect your information against unauthorised access, loss, misuse, alteration, or destruction. These measures include access controls, encrypted data transmission, and periodic security reviews. No method of transmission over the internet or electronic storage is completely secure. While we take protection seriously, we cannot guarantee absolute security. In the event of a data breach that is likely to affect your rights, we will notify you as required by applicable law.

10. Your Rights

You have the following rights regarding your personal information:

  • Request a copy of the personal information we hold about you.
  • Request correction of inaccurate or incomplete information.
  • Request deletion of your account and associated personal data (subject to legal retention obligations).
  • Opt out of marketing communications at any time.
